Overview
Shopventory is an inventory management platform that excels in synching different point of sale systems to have the same inventory information to avoid discrepancies. One of their features is an invoicing tool so that users can send invoices to their customers, vendors, etc. Shopventory has over 5,000 active subscriptions and the introduction of an invoicing feature was projected to increase engagement, reduce churn, and also encourage our customers to subscribe to a higher tier in order to have access to the invoicing feature.
The Process and Research
Like any project, we first do some preliminary research. This includes looking up what our competitors are doing and how they handle the same problem, writing user journeys, user stories, and wireframing.
Problem we are trying to solve:
Give users the ability to view and manage all the invoices that have existed and still exist for their business.
Empower user to be able to keep track of their business invoices with an easy to use UI.
Allow users to look up and keep a compiled database of all the invoices they have made.

Shopventory is a has a very specific user set, so sourcing users to interview or do tests is a bit more of a challenge than a consumer retail website or app. We had to reach out to people already in the industry, our users and customers, and businesses to see what their user needs are and to sample our mocks before we developed them.

We need to align our user’s sentiments, concerns, and expectations to our business needs and goals. This will influence our design process.
Design Approach
Be intuitive
We want users to be able to pick up the invoicing tool and know exactly what they are doing. We don’t want users to have to dig around and find text documentation on how to do some basic things.
No hidden features
Due to the number of available functionalities present for the user to utilize, we wanted to make sure that these features are easily accessible and not hidden.
Informative
Shopventory’s slogan is to be the ‘Pulse of your Business.’ Thus, we want to be able to show users details that are important to them from the dashboard such as how much have they transacted in the past 30 days. How much in overdue payments are there. Etc.

Moderated panels allowed us to test to see if our designs and prototypes matched their expectations. We kept looking out for things like where users get confused. What are some potential dead ends. Etc.
First Iterations and Revisions
Upon releasing the initial version, we saw about 2299 invoices being created which handled $3,954,824 payments through our invoicing platform for the year of 2020. We continued to iterate and test out improvement to the UI. The number one complaint users had was regarding the table. Users wanted something a bit more dense with core details displayed from the dash.
After a few rounds of testing, we changed to a more dense table layout with core features displayed on the table. We also introduced an over view section so that users can see how they are performing.
After the revision, invoice creation jumped to 7960 invoices created from January 2021 to Sept. 2021. That accounts for $6,311,106 paid through our invoicing platform. That’s a performance gain of %346 for user engagement.
